Known vTools Issues

Below are the current known issues across all vTools platforms, along with workarounds (where applicable), and expected resolution dates. Please contact mga-im@ieee.org if you have further questions.

Engage

  • Data is Engage is not consistent with what is showing in OU Analytics. Volunteers with access to Engage may notice that the counts and/or lists of members that show in Engage are not accurate or up-to-date with the data that shows in OU Analytics. For example, you may see a member listed as being in “Arrears,” when they have already renewed and are currently an active member.
    • Workaround: Send an email to mga-im@ieee.org. We can manually update your Section so the data is accurate.
    • Expected resolution date: In progress. We are still working with our IT Teams to ensure that the data refreshers are pulling in the correct data to Engage. 

 

Events

  • Some events are not editable after they have been published. Volunteers may notice that they cannot edit some of their events after they have been published. This is due to a bug which causes the primary host email address to be blanked out after the event is published, which does not allow editing of the event.
    • Workaround: Send an email to MGA-IM staff at mga-im@ieee.org to let them know. You can also use the Contact Staff form on vTools Events. Staff can still edit the event and can reapply the primary host email address so editing is made available again.
    • Expected resolution date: 4Q 2024

 

Nominations/Voting

  • Users not able to populate their election ballot from Nominations to Voting. Some users have received an Application Error when clicking on “Populate Election Ballot” in the Nominations Tool and are not able to create the ballot in Voting.
    • Workaround: Manually create the ballot in vTools Voting and copy/paste your candidates from Nominations into the ballot.
    • NOTE: Because the ballot was not automatically created, vTools will require users to get Region Director approval again if any single-candidate slates are on the ballot. The Region Director will have to approve the slate again before you can activate the ballot.
    • Expected resolution date: 29 Oct 2024
  • Users not able to send the request for approval for single-candidate slates. Some users have received an Application Error when trying to send the request for approval for their single-candidate slates.
    • Workaround: Change the candidate details (biography, reasons for running, etc.) to one or two simple sentences, making sure not to include any special characters like bullets or accents over the letters (keep the full details saved somewhere so you can add them back later). This should allow you to send the request. Once the request is approved, add the details back to the candidate(s). 
    • Expected resolution date: RESOLVED

 

Patching Schedule

When patching is being done in vTools, users may notice intermittent outages of the applications. In most cases, the application should come back within a few minutes. Patching typically occurs between 8am and 4pm Eastern time on the third Thursday of every month. Below are the scheduled patching dates for 2024:
