Each year a Chapter Chair Meeting (CCM) is held in conjunction with the International Microwave Symposium (IMS), the European Microwave Week (EuMW), the Asia-Pacific Microwave Conference (APMC), the Microwaves, Antennas and Propagation Conference (MAPCON), the International Microwave and Antennas Symposium (IMAS), and the Latin America Microwave Conference (LAMC, biennial).
As a Chapter Officer, you are invited to attend these meetings. This is an outstanding opportunity for you to meet other Chapter Officers, Regional Coordinators, MTT-S Member and Geographic Activities Committee members, as well as other AdCom members.
Travel support to these meetings is available to Chapter officers who cannot attend without additional financial support. A mailing will be sent to you concerning these meetings prior to each one. Funding opportunities are explained in detail in the next section.
The following important items need to be considered:
- Attendance of a Chapter Chair Meeting requires an RSVP, independent of any additional travel support application. The RSVP link for each meeting can be found under Upcoming Chapter Chair Meetings at the end of this page
- International travelers need to check Visa Regulations well in advance. Invitation letters for visa purposes can be provided by the respective conference. Check the conference website and apply early!
- If you require an additional signed letter from MTT-S to demonstrate financial support for your visa application, please contact a.vanorden@ieee.org after your Chapter Officer Travel Support application has been approved.
CHAPTER OFFICER TRAVEL SUPPORT
Each active MTT Chapter may receive financial support of up to $2,250 per year to send a single Chapter Officer to attend one of the Chapter Chair Meetings. The following travel program guidelines need to be observed:
- The Chapter needs to have an ‘active’ status according to the requirements listed here
- Pre-travel approval with estimated expenses is required at least 2 weeks in advance, respective online forms can be found in the next section
- The support is limited to $2,250 per Chapter and can not be accumulated
- Volunteers not listed as a Chapter Officer will not be approved for this program
- The Chapter Officer needs to attend the Chapter Chair Meeting
- Reimbursement needs to be performed via Concur and must be in accordance with current Expense Reimbursement Guidelines for IEEE volunteers (check for updates)
- Your approval code needs to be used as the name of your Concur reimbursement
- The Concur Expense Report Purpose is: Technical Activities Societies – Microwave Theory & Technique – MGA chapter chair travel – CHPTR
- Transportation expenses cannot exceed standard economy-class fare
- Lodging is limited to three (3) days (the evening of the meeting, the evening prior to the day of the meeting, and the evening after the day of the meeting)
- Conference registration fees may not be reimbursed
- Travel expenses must be submitted within 60 days of travel or the date of the event.
Travelers are reminded that the reimbursement process typically takes 6 to 8 weeks after filing a complete reimbursement request. Loans might be granted by your local chapter.
